Job Description

The Human Resources Assistant will work with the HR officers in developing and managing the Human Resources function within Project HOPE Zambia to optimally support successful program development and implementation.

Responsibilities:

Responsible for overall Office Administration, Property Administration Storage Administration and Office Secretariat Functions.  S/he will make sure that the safety and security of all organizations Properties via up-to-date coverage and proper utilization Ensuring that established policies & procedures in critical areas of human resources and administration are distributed to employees and proper induction has been done. S/He will Assist with compiling and checking timesheets ensuring that they need been completed correctly and establishing a correct file system for these time sheets Assist in preparation of all disciplinary and grievance matters that arise and ensuring they’re handled and communicated sensitively and in accordance with internal policy and Zambian Labour Law ·         Implementing a central file system and assist with establishment and maintenance of employee records, reports and benefits ·         Uploading HR documentation into the electronic record file system ·         Visa processing, hotel reservation, in-country itinerary, communicate and ensure appointment and shuttled arraignment for international staff. ·         Create and maintain a corporation work calendar, using cloud applications, to incorporate, calendar of events, deadlines, delivery of products, etc. Ensures leave, absence and personnel record management Assist with all staff recruitment, new-employee orientation, employee relations counselling and exit interviewing in-line with Project HOPE Zambia Policy Perform the other HR duties as needed Minimum Requirements: ·         Diploma in Human Resources Management, Business Administration, applied psychology or other related fields ·         Minimum of three years’ experience of human resource management ·         Good working knowledge of donor programmes like PEPFAR, USAID and/or CDC is preferred ·         Experience in filling system Experience with Microsoft Word, Excel, and PowerPoint preferred Excellent communication skills, both written and oral, preferred Fluent in English and Zambian languages EEO Statement Project HOPE provides equal employment opportunities (EEO) to all or any employees and qualified applicants for employment without reference to race, color, religion, gender, sexual orientation, national origin, age, handicap, disability, or status as a veteran.
